When the task of choosing a hosted CRM provider becomes something that needs to be done there are a few questions one must ask. Who owns the CRM data, how quickly can one get technological support if they need it, how often is the system backed up, and if something goes wrong how easy is it to switch the information to different CRM providers.
The issue of who owns the data in the CRM system is simple is it not? It is owned by the business. Sadly, this is not the case as many a hosted CRM solution provider has added a clause to their contracts that the CRM solution providers own the data of the business that decides to host with them. This is done as they hope to create a monopoly and force the customer to have limited hosting options.
This will turn into disaster if one decides to change CRM software providers as the company with the rights to the data will make the transfer of information impossible and tedious. This will put the customer off the idea of changing CRM service providers as the process and the huge costs involved will make the task seem insurmountable. This of course is what less legitimate companies want to happen. One way to combat this is to look over the contract before a provider is decided on and if a provider cannot answer questions about the possibility of changing companies easily look elsewhere.
The CRM company that a business chooses will contain the data that is essentially the lifeblood of the business. This data is customer information. If the system was to fail or go down the business has the potential to lose a great amount of money in a short amount of time. This is why whatever CRM provider the business decides to go with needs to be available to assist with technical issues all hours of the day. The reality is that service centers measure their response times and these should be within a matter of minutes. In no circumstance are response times of over an hour acceptable. For the dedicated out there response times can be measured by ringing up different companies at different times in order to figure out which companies have the best response times. The best way to do this is by ringing at different times such as the morning, afternoon, evenings and weekends.
One of the worst things that could happen to a company would be to lose all the CRM data they have stored. Most people assume that a big company will have some sort of back up system. They also assume that a profitable reputable company will not make mistakes or lose their data. However, if one were to look at some of the reviews for these companies they would hear a different story. It may not happen all the time but CRM companies have been known to lose data that is uploaded by their customers. This of course is unacceptable and it is important to try and find a company that has a good system in order to prevent this. One way of doing is is finding a company that runs routines backups. It would be preferable that they were daily and backed up onto disk. They should then confirm that this data is stored offsite in case of an emergency.
There are so many choices when it comes to hosting companies and as they grow in popularity so too will their level of service. This means that they will be able to provide customers with reliable support twenty four hours a day, will be reliable and soon the costs involved will be reduced. If this does happen and there is a significant change in the cost of using hosted CRM services then it will be time for the business to shop around and look at a new company. However as stated before if one has gotten themselves entangled with a company that has put a claim on all the data of the business this will be difficult. They will force the user to manually transfer all their files, putting them off changing companies altogether.
As there are significant costs involved when choosing this type of company the business should do their research before they commit to one. This can be done by looking up reviews of the company online. Potential customers should also search whether the system is easy to use and read up on company policies regarding terminations of accounts. Hosted CRM is a good option for businesses but unfortunately, it is something that will need careful consideration as not all providers give a quality service. However if all the above points are looked into one should be able to find a reliable provider.
